A constitution sets out the rules and procedures by which committee members govern the association. PTAs wishing to register as a charity will need to have adopted a constitution, but developing one can be quite complex. To assist members, Parentkind, in conjunction with its charity lawyers, has developed two model constitutions; one for members in England and Wales and one for members in Northern Ireland.

But what are the responsibilities of the 'chair', 'treasurer' and 'secretary'? You may well be holding your AGM this term, which means named committee members will be stepping down and you may be looking for new people to take on the roles. It can be hard finding willing volunteers, and that's often because people don't understand what they're being asked to do. The traditional roles are chair, treasurer and secretary, but what do these roles actually entail on a day-to-day basis?

As trustees of the PTA, all named officers are responsible for making sure the organisation is run effectively and in line with its constitution. Main purpose of role: To manage and control PTA funds according to the wishes of the committee. My main responsibilities are reconciling bank statements, keeping up-to-date monthly cashbooks, producing termly reports for PTFA meetings and finalising the annual accounts.

After events, I bank any cash and produce an income and expenditure report. I also submit our annual return to the Charity Commission, organise TENs and the lottery licence and renew our insurance.

I do have accounting qualifications however I don't think that's necessary in order to take on the role of treasurer; I think its important to have organisation skills, to be comfortable with numbers and not be scared of paperwork.

To anyone considering becoming a treasurer, I would say that it's such a rewarding role. After the post-event number-crunching, it makes me feel very proud to announce the profit made, and to reward everyone's hard work put into that event.
